1. Our Commitment to Privacy

PDS Express ("we", "our", or "us") respects your privacy and is committed to protecting your personal data. This Privacy Policy outlines how we collect, use, and safeguard the information you provide through our website and application.

We operate in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173)of the Philippines.

2. Information We Collect

When you use the free editor, your PDS draft stays in your browser unless you choose account-based saving. If you use Pro Pass or submit data for PDF generation, the form may include personal identifying information (PII) necessary to complete the Civil Service Personal Data Sheet (Form 212), including but not limited to:

• Full Name, Birth Date, and Birth Place
• Government ID numbers (GSIS, PAG-IBIG, PhilHealth, SSS, TIN)
• Residential and Permanent Addresses
• Educational Background and Civil Service Eligibility
• Work Experience, Training Programs, and Career History
• Family details and character references

We also collect account information (e.g., email address) through our authentication provider, Clerk.

3. How We Use Your Information

We use your information solely for the following purposes:

• To provide and maintain the PDS Express application.
• To generate filled PDF versions of the CSC Form 212 for your personal use.
• To store your professional history securely when you choose Pro Pass cloud saving.
• To manage your account and process payments for Pro Pass features.

4. Data Storage and Security

Free drafts are stored locally in your browser when local storage is available. Pro Pass profile data is stored in a secure PostgreSQL database. We implement industry-standard security measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction.

Your sensitive data is not used for training AI models or sold to third parties.

5. Resume import and artificial intelligence

If you use the optional resume import feature, you upload a PDF file. We extract text from the PDF on our servers and send that text to Google's Generative AI (Gemini) to suggest field values mapped to the PDS structure. Do not upload files you are not allowed to share. We do not use your profile or resume content to train our own models; processing is subject to Google's terms applicable to the API product we use.

AI output is error-prone. You must review and correct every field before relying on it for any application.

6. Payments

Pro Pass purchases are processed by Xendit(and local payment channels such as QRPH, GCash, or Maya where enabled). We receive payment status and billing metadata needed to unlock cloud-saving features in your account. We do not store full card numbers on our servers. Payment data is subject to Xendit's privacy policy.

7. Data Sharing and Disclosure

We do not sell your personal information. We do not share your PDS contents with employers or government agencies unless you yourself submit generated documents. We may share data with service providers strictly as needed to operate the Service:

• Clerk for authentication; hosting and database providers for infrastructure; Google for optional AI resume parsing; Xendit for payments—as described above.
• With your explicit consent.
• For legal reasons (e.g., law, regulation, legal process, or enforceable governmental request).

8. Retention

We retain your account and PDS profile data for as long as your account is active and a reasonable period afterward for backups, fraud prevention, and legal compliance. You may request deletion of your data subject to any ongoing legal or contractual obligations. Uploaded resume files used for one-time import may be discarded after processing; avoid uploading sensitive files you do not need for the feature.

9. Your Rights

Under the Data Privacy Act of 2012, you have the right to access, correct, or request the deletion of your personal information from our Service at any time. You can export your saved app data and permanently delete your saved PDS profile data through your account settings, or contact us at privacy@pdsfill.com.
